Executive Assistant
Leadership Team

The Executive Assistant will manage the day-to-day business activities of the C-team,
including providing strategic management of their busy schedules, coordinating
meetings with internal and external contacts, preparing and tracking their expenses and
arranging travel. The role is a pivotal support position, as the Executive Assistant is a key
liaison among staff members and the C-team. Additionally, the Executive Assistant will:
● Support other members of the leadership team with ad hoc administrative needs
● Support day-to-day operations of the office
● Contribute to and lead special projects across various areas of the organization
In all of these roles, the Executive Assistant will need to demonstrate the ability to handle
confidential information with discretion and utilize independent judgment. This is a
full-time position reporting to the owners.

Duties + Responsibilities
Executive Support
● Organize and coordinate the daily calendars of the Executive Team (Owners)
● Manage and arrange travel for leadership team
● Proactively consider needs related to calendar, travel and speaking engagements
● Write individualized correspondence and other documents as requested
● Receive and triage incoming written communications to appropriate staff and
facilitate response or action
● Manage organizational communication, scheduling and logistics for key internal
events such as leadership meetings, staff meetings, team events, etc.
● Manage front office and incoming office traffic
Office Management
● Serve as the key point of contact for front office vendors, such as maintenance,
supplies, equipment repair, etc.

● Monitor equipment and problem solve issues as needed (computers, printers,
toner, paper, etc.)
● Design, communicate and oversee implementation of office operations, policies
and procedures
● In partnership with HR, continually look for ways to evolve and improve
operational efficiency of systems and processes impacting staff and office
● Maintain responsibility for general office upkeep and "look and feel". This includes
keeping the break room, conference room and supply areas stocked, clean and
Other Support
● Provide event support and planning including meetings and staff events; this
includes logistics, planning and day-of support including invoicing/billing
● Support other functional areas and members of the leadership team with special
projects as needed

Qualifications + Abilities
● 5+ years of experience of assistant support, both as an Executive and Personal
● B.A/B.S degree preferred
● Reliable, consistent, direct, and experienced in building trust with stakeholders
● Exceptional written and verbal communication
● Proven ability to handle confidential information with discretion
● Must be highly organized and thoughtful with strong customer service skills
● Proactive in anticipating, addressing and resolving potential challenges
● Ability to problem solve in a fast-paced environment
● Eager to make an impact and thrive in a dynamic, hyper-growth environment
● Proficiency with Google Workspace, Slack
